Add an Offering to Create a Batch and Post it

This article provides steps to create a new batch for physical offerings and then post it.

Online Giving provides you a convenient and efficient way to record the offline / physical offerings you receive. In Offerings, you can create a batch to record donors, offering amounts, check numbers (if applicable), funds to which donations were made, and any applicable notes. You can create more than one batch of offerings for a given date. To help save you time as you record offerings, the system automatically recognizes envelope numbers and family / member names from Directory and automatically reapplies the most recently selected fund (you can, however, select a new fund at any time).

Donors not listed in Directory can be Added as a Guest Family as you record their offerings. Also, you can record offerings not attributed to a donor (e.g., cash placed directly in the offering without an envelope or note) by entering only the amount, check number, if applicable, and fund. Such offerings are recorded as Loose contributions.

Complete the following steps to add an offering to create a batch and post it:

1. In Giving, select Offerings in the main menu.


2. Click the Add Offering button.


3. Enter the batch Name.

4. Enter or select the Date of the Contributions.

5. Click the Start button.


6. Enter the offering information: Donor envelope number or name, offering amount, check number (if applicable), and the fund to which the donation was made (for donations not made to a specific fund, select Offering as the fund).


To quickly enter donations, enter the envelope number, and then press the Tab key. The family / member information associated with the envelope is automatically entered for you.


Note* To help you attribute donations to the correct family, the system automatically searches and displays results from Directory when you enter a family or member name, so you can select the appropriate family / member.


Note* If there is a donor not listed in Directory, you can optionally record the donor as a guest family.


Note* You can record donations not attributed to a donor (e.g., cash placed directly in the offering without an envelope or note) if you need by entering only the amount, check number, if applicable, and fund. Such offerings are recorded as Loose contributions.


7. Click the ADD button to add the offering to the batch.


8.  Continue to enter offering information until you have recorded all offerings.

Batch totals are displayed on the Batch Totals card, updated each time you enter an offering.


On the Offering Details card, details are given about each offering in the batch. You can sort the card by any column and Edit an Offering or Delete an Offering as needed.


9. Once you have entered all offerings for the batch, click the Post Offering button on the Batch Totals Card.

Note* Posting the batch closes the batch to any further contributions and posts the contributions to Directory. The status of the batch remains Open until it is posted.


11. Review the totals summaries and deposit date for accuracy. You can update the the Date of Deposit by entering or selecting a new date.

12. Click the POST button to post the batch.


The new batch is listed on the Offerings page.
